Who We Are

The Patient Participation Group (PPG) works alongside the practice to help improve services and represent the views of patients. The PPG is made up of patient volunteers who work with the practice on matters relating to patient experience and service development.

What Information We Collect

When you contact the PPG, we may collect:

  • Your name.
  • Your email address and contact details.
  • Information contained within your correspondence.
  • Any feedback, suggestions, concerns, or enquiries you choose to provide.

We ask that you do not include unnecessary medical or sensitive personal information in emails sent to the PPG.

How We Use Your Information

We use the information you provide to:

  • Consider and respond to your feedback, suggestions, and enquiries.
  • Identify themes and opportunities for service improvement.
  • Support the work of the PPG in representing patient views.
  • Communicate with you about matters relating to your enquiry.

Who Will Have Access to Your Information

Your email may be accessed by:

  • Authorised practice staff responsible for supporting the PPG.
  • The Chair of the PPG.
  • Authorised PPG members where necessary to consider or respond to your enquiry.

PPG members are expected to handle any information shared with them confidentially and only for the purposes of PPG activities.

Legal Basis for Processing

Your information is processed for the legitimate purposes of managing patient feedback, supporting patient participation, and improving healthcare services.

Where consent is specifically requested, you may withdraw that consent at any time by contacting the practice.

How Long We Keep Your Information

Correspondence sent to the PPG will be retained only for as long as necessary to fulfil the purpose for which it was collected and in accordance with the practice’s records management and retention policies.

Sharing Your Information

We will not share your information outside the practice and the PPG unless:

  • We are required to do so by law.
  • There is a safeguarding concern.
  • There is a serious risk to an individual’s health, safety, or wellbeing.
  • You have given us permission to do so.

Your Rights

Patient Participation Group (PPG) Email Policy

The PPG represents the views of patients and works with the practice to help improve services and the patient experience. We welcome your comments, suggestions, and feedback.

Where appropriate, your email may be shared with the Chair of the PPG and other authorised PPG members to enable them to consider your feedback, suggestions, or enquiry and to respond to you. If you do not wish your email to be shared with the PPG Chair or PPG members, please state this clearly in your email. In such cases, we may be unable to progress matters that require PPG consideration.

Please use this email address for:

  • Suggestions on how the practice can improve services.
  • Ideas for patient information, events, or community activities.
  • Comments about access to services, communication, or facilities.
  • Enquiries about joining the PPG or becoming involved in its activities.

Please do not use this email address for:

  • Requests for medical advice or clinical opinions.
  • Admin queries.
  • Appointment bookings, cancellations, or changes.
  • Prescription requests or medication queries.
  • Test results or referrals.
  • Urgent health concerns.
  • Complaints.

The PPG is made up of patient volunteers and is not part of the clinical team. They cannot access medical records, provide healthcare advice, or resolve individual clinical matters.

For medical or administrative enquiries, please contact the practice directly using the appropriate channels.

Urgent Medical Assistance

If you require urgent medical attention, please contact the practice directly, call NHS 111, or dial 999 in an emergency.

Confidentiality

Please do not include sensitive personal or medical information in emails sent to the PPG. Any information received will be handled appropriately and shared only where necessary to support PPG activities and service improvement.

We aim to acknowledge emails within 28 working days. As the PPG is run by volunteers, response times may vary.
